Privacy Policy
Effective 15 October 2026
This policy explains what Wedding Studio Cloud collects, why, who helps us run it, and the choices you have. It covers the Studio Cloud apps for iPhone, iPad and Mac, our websites (including the wedding websites and delivery pages studios share with couples), and our cloud service.
Who we are
Wedding Studio Cloud ("we", "us") makes software that wedding filmmakers use to back up, edit and deliver wedding films. Questions about privacy go to privacy@weddingstudiocloud.com.
When a studio uses Studio Cloud to film and deliver a wedding, the studio decides what footage and wedding details go into it. For that content we act on the studio's behalf. Couples and guests can ask the studio or us about it (see "Your choices and rights").
The short version
- We collect what's needed to run your account, store and process your footage, and deliver films.
- We don't sell personal information, we don't show ads, and we don't track you across other companies' apps or websites.
- Face recognition, voice recognition, transcription and shot analysis run on your device.
- AI features that need a cloud model send only what that feature needs, and only when you use it.
- You can delete your account in the app at any time.
What we collect and why
Account information
- Name and email address, to create your account, sign you in and send account emails (sign-in links, invitations, receipts, film notifications).
- Sign in with Apple: if you use it, we receive a stable Apple user identifier and the email Apple shares with us, which may be a private relay address if you choose "Hide My Email". We never receive your Apple ID password.
- Editor accounts sign in with an email and password. We store only a salted hash of the password, never the password itself.
- Crew accounts are created from an upload or invite code a studio sends; they hold the name the studio entered.
- Sign-in tokens for your devices are stored as hashes on our servers.
Studio and wedding information
What a studio enters to plan and edit weddings: couple names, wedding dates, venues and their addresses, production-day timelines and stops, notes, crew assignments, contracts and payment status the studio tracks, and vendor contact details (for example, from a business card the studio scans on the day).
Footage and media
Video, audio and photos you import or upload, voice notes about shots, titles, music you add, edits and timelines, posters and other things you make in the app. Walkie-talkie audio between crew members is relayed through our service to the other crew on that wedding. Guests may upload photos and clips to a wedding through a link the studio shares; those go to that studio.
Crew information
For studios that manage a crew: names, emails, phone numbers, roles and the gear assigned to them. A filmmaker may add a home address so the app can work out drive times and mileage. That address is private: only the filmmaker and the studio that added them can see it. It never appears on share pages, crew pages or another crew member's view.
Location
- Arrival sharing (crew): on a production day, a filmmaker can turn on arrival sharing so their studio sees when they reach each stop. Only then, and only during that production window, the app uses the device's precise location and sends it to us for that studio. It stops when the day ends, and you can switch it off at any time in the app or in your device's settings.
- Creative Directory: if you list yourself, you type an approximate place (for example, a city). We store that place and an approximate point for it so others can find creatives nearby. You can leave it out.
- Weather: to show the forecast for a production day, the app sends the coordinates of that day's stops to Open-Meteo, a weather service. It does not send your name or account.
- Maps: if you ask for directions, the app opens Apple Maps (or Google Maps or Waze, if you choose) with that address.
Creative Directory profiles and films
If you join the Creative Directory, the profile details and films you mark public (name, handle, photo, bio, roles, skills, availability, links, portfolio films) are visible to other members and on your public profile page. Anything you keep private stays private.
Purchases and payments
- Credits: purchases of credits are processed by Stripe. We receive the purchase details (pack, amount, date and status) and keep a ledger of how credits are used. We never see or store your full card number.
- Studio payments: studios can take payments from couples through Stripe Connect. Stripe processes those payments and collects the information it needs to do so under its own privacy policy.
Usage and diagnostics
- Paid actions: for each paid AI generation or storage charge we record what was made, when, by whom and what it cost, so your billing history is accurate.
- Diagnostics: crash and performance reports (from Apple's MetricKit) stay on your device unless you switch on Share diagnostics in the app. If you do, a summary is sent to us to fix problems. You can switch it off at any time.
- Wedding website and film views: when a couple or guest watches a film on a page a studio shares, we count views and how much of a film was watched so the studio can see it. Visitors are counted with a hash that changes every day; we don't store IP addresses, cookies or raw browser details for this.
On-device processing
Face recognition, voice (speaker) recognition, speech transcription, beat detection and shot analysis run on your iPhone, iPad or Mac. The results, such as which person appears in a clip or a transcript of a toast, are saved with the wedding project. If you use cloud sync, the project syncs to your studio's cloud space like the rest of the wedding. These results are used only to edit that studio's films. We don't use them to identify people outside your studio, and we don't sell them.
AI features and the providers we use
Some features use cloud AI models. Before the first one runs, the app asks your permission and names these providers; you can turn AI processing off any time in Studio › AI › AI Providers. Each AI feature is labeled in the app, and paid generations show their cost before they run and appear in Billing afterwards. A feature sends data to an AI provider only when you use that feature, and sends only what it needs:
- Planning and editing help, writing and chat (for example, story building, film review, Director, captions and social writing): text such as transcripts of speech, shot descriptions, timeline details and your instructions. Some features also send still frames from your footage.
- Posters and images: your prompt and, if you choose one, a still frame or photo.
- Sound and voice (sound repair, voice tools, music and sound effects): the audio clip being processed, or your text prompt.
- Moving portraits and video generation: the photo or frame you choose and your prompt.
- Business card scanning: the photo of the card, to read the contact details.
Depending on the feature and the model selected, these providers may process that data: OpenRouter (which routes requests to models from companies including Anthropic, Google, OpenAI and xAI), Anthropic, OpenAI, xAI, fal.ai, ElevenLabs, Auphonic and Runway. They process it through their business APIs under their API terms, to return the result to you. We choose providers whose API terms limit how they use customer data.
Other service providers
We share data with service providers only as needed to run Studio Cloud, under contracts or terms that require them to protect it:
- Cloudflare: hosting, our database and file storage (R2), and delivery of websites and films.
- Backblaze B2: optional cloud storage for footage, if your studio chooses it.
- Google Drive and Dropbox: only if you connect your own account, to read or store your footage there.
- Stripe: payments for credits, and payments between studios and couples.
- Resend: sending account, invitation and notification emails.
- Apple: Sign in with Apple and push notifications.
- YouTube (Google), Vimeo, Instagram, Facebook, TikTok, X and WordPress: only if you connect an account and ask us to post or publish a film. We send the film and the text you approve.
- Open-Meteo: weather forecasts (coordinates only).
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy continues to apply.
What we don't do
- We don't sell or rent personal information.
- We don't share personal information for cross-context behavioral advertising.
- We don't show ads, and we don't use advertising identifiers or track you across other companies' apps and websites.
How long we keep data
We keep your account and your studio's content while your account is open. Content you delete in the app (for example, footage, a wedding or a film) is removed from our storage. When you delete your account, we delete your account and the content it owns. Copies in backups and logs are cleared within 30 days. We keep a limited record of purchases and credit transactions for as long as tax and accounting laws require.
Deleting your account
You can delete your account in the app at any time:
- Studios: Studio › Account › Delete Account.
- Editors: tap your avatar on Home to open your account, then Delete Account (under Sign Out).
- Crew who joined with a code: Studio › Account › Crew Accounts › Delete.
You can also email privacy@weddingstudiocloud.com from the address on your account. If you used Sign in with Apple, deleting your account also revokes the app's access to your Apple ID.
Your choices and rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a copy in a portable format, object to or restrict some uses, and withdraw consent you gave. To make a request, email privacy@weddingstudiocloud.com. We'll confirm it's you and reply within the time the law requires. We won't treat you differently for using these rights. If you're in the European Economic Area or the United Kingdom, you can also complain to your local data protection authority.
If you appear in a wedding film or website a studio made with Studio Cloud, contact that studio first. You can also contact us and we'll help.
In the app you can also: turn off arrival sharing and location access, turn off diagnostics sharing, disconnect Google Drive, Dropbox and social accounts, hide or delete your Creative Directory profile and films, and report or block other members (blocked members are listed under Studio › About & Legal › Blocked People, where you can unblock them).
Children
Studio Cloud is a professional tool for wedding filmmakers. It is not directed to children under 13 (or under 16 in the European Economic Area), and we don't knowingly collect their personal information. If you believe a child has given us personal information, contact us and we'll delete it.
Security
We use HTTPS (TLS) for all connections, store passwords and sign-in tokens only as hashes, limit each account to its own studio's data, and encrypt the link between your iPhone and Mac when you pair them for Film Companion (using Apple's CryptoKit). No system is perfectly secure, but we work to protect your information and will tell you if a breach affects you, as the law requires.
International transfers
We and our providers may process data in the United States and other countries. When we transfer personal information from the EEA, the UK or Switzerland, we rely on safeguards such as the European Commission's Standard Contractual Clauses.
Changes to this policy
If we change this policy we'll update the date at the top, and for important changes we'll tell you in the app or by email before they take effect.
